Meetings & Communications

Purpose: To hold effective and efficient meetings and to be able to communicate within our team clearly.

Daily Stand-ups

  • Check-in with the team (2m)

  • Publicly praise the contributions of the team (3m)

  • Each team member give their report (5m)

Weekly Team Meetings

  • Check-in with the team (3m)

  • Review the stoplight report (15m)

  • Plan the next week and delegate tasks (15m)

  • Review the challenges and work through system improvements (25m)

  • Conclude the meeting (2m)

Monthly Town halls

  • Introduce the town hall and make any announcements (5m)

  • State of the Union address (20m)

  • Recognize various team members and awards (15m)

  • Hold a Q&A session (15m)

  • Closing (5m)

Communication

  • Rules: Communications should be immediate, concise and direct. When speaking with someone, be 100% present - no multitasking. 

  • Routine / not time-sensitive: Voicemail or email

  • Time-sensitive: Instant messenger, text, phone, or in-person.

  • Detailed explanations or getting thoughts in order: Voicemail or email

  • Personal or sensitive issues: One-on-one phone or in-person.

  • Needs documentation: Email or text.
