Conferences
Purpose: To effectively plan and attend strategic conferences to meet contacts, clients, vendors and resources.
Conference Planning
Confirm goals (who you want to meet, leads/partners/resources to generate).
Register, book travel/lodging, and note key sessions, events, and people of interest.
Prepare materials (business cards/QR, one-page overview, pitch).
Assign roles if multiple people are attending (who covers what).
Set up a simple post-event follow-up process and calendar reminder for within 48 hours.
Booth Setup
Arrive early to claim space, set up display, materials, and any tech (tablets, QR codes, signage).
Test everything (power, Wi-Fi, demo if applicable) and keep the area clean and approachable.
Position people ready to engage; have a quick way to note conversations on the spot.
Ensure the contact-capture form (or device access to it) is ready and easy to use.
Contact Capture
Speak with a potential client, contact or resource. It’s important to find out why they are attending the conference and help them in some way.
In the form below, add their contact information. Include the conference name, contact name, phone and email, who to follow up, any notes on the type of contact and uploads.
Within 48 hours after the conference, follow up with all the contacts.
